SugrivaX ERP Privacy Policy

Version 1.0 – Effective from 14 October 2025

Operated by: Hoysala International Growth Hub (referred to as “Hoysala International Growth Hub”, “we”, “our”, or “us”)

Applies to: SugrivaX ERP platform and all related services hosted on the Hoysala International Growth Hub Cloud Platform.

1. Purpose and Scope

This Privacy Policy explains how Hoysala International Growth Hub collects, uses, stores, transfers, and protects personal and business data processed through SugrivaX ERP (the “Software”) and its associated Cloud Services.

This policy applies to:

  • All Customers (business entities and users) subscribing to SugrivaX ERP.
  • Visitors of our website and support portals.
  • Any individual or organization interacting with Hoysala International Growth Hub for ERP services, support, or partnerships.

2. Definitions

Terms not defined here shall have the meaning assigned in the SugrivaX ERP Subscription Agreement.

  • Personal Data: Any information relating to an identified or identifiable individual.
  • Customer Data: Electronic data, content, and information submitted by Customers or Users to the SugrivaX ERP Software.
  • Processing: Any operation performed on Personal Data, including collection, storage, use, or deletion.
  • Controller: The Customer that determines the purpose and means of processing Personal Data.
  • Processor: Hoysala International Growth Hub, when processing Personal Data on behalf of the Customer.
  • Subprocessor: A third party engaged by Hoysala International Growth Hub to assist in providing the Services.

3. Data Collection

We collect the following categories of data:

3.1 Customer-Provided Data

  • Account and company information (name, business registration, contact details).
  • User login credentials and access roles.
  • Payment and billing information.
  • Support tickets, communications, and documentation shared with our team.

3.2 Automatically Collected Data

  • Log files (access dates, IP addresses, browser type, OS).
  • ERP usage statistics (modules used, login frequency, uptime metrics).
  • Performance and system health data for service optimization.

3.3 Optional and Consent-Based Data

  • Cookies and analytics data when visiting our website.
  • Surveys, feedback forms, and promotional communications (opt-in only).

4. Purpose of Processing

We process Customer and Personal Data strictly for the following purposes:

  1. Service Delivery: To provide access, functionality, and maintenance of SugrivaX ERP.
  2. Account Management: To manage billing, subscriptions, renewals, and communication.
  3. Support & Improvements: To resolve issues, apply updates, and enhance performance.
  4. Legal Compliance: To fulfill legal obligations and respond to lawful requests.
  5. Security: To detect fraud, prevent unauthorized access, and maintain data integrity.
  6. Analytics: To monitor performance and improve customer experience (anonymized data only).

We do not sell, rent, or trade Personal Data to any third party for marketing or profit.

5. Legal Basis for Processing

Our data processing is grounded on:

  • The performance of a contract (Subscription Agreement).
  • Legal compliance with data protection laws.
  • Legitimate business interest in securing and improving services.
  • Consent, where required for optional communications or analytics.

6. Data Retention

Customer Data is retained for the duration of the subscription and for up to 90 days post-termination to facilitate data retrieval.

After this period, all data is permanently deleted or anonymized unless retention is required by law.

Backup data is securely encrypted and automatically purged after the configured lifecycle in our Cloud Hosting SLA.

7. Data Protection and Security Measures

We implement strong administrative, technical, and physical controls, including:

  • AES-256 encryption for stored data.
  • SSL/TLS encryption for all communications.
  • Role-based access controls and multi-factor authentication.
  • Secure hosting in Tier I, II , III data centers with 99.9% uptime.
  • Regular vulnerability assessments and penetration testing.
  • Continuous monitoring and automated threat detection.

8. Subprocessors and Data Transfers

Hoysala International Growth Hub may use third-party providers (“Subprocessors”) for infrastructure, analytics, and email services.

All Subprocessors are contractually bound to adhere to equivalent data protection standards, aligned with GDPR and the Indian DPDP Act.

Where cross-border data transfers occur (e.g., between India, Europe, or the US), they are governed by appropriate safeguards such as:

  • Standard Contractual Clauses (SCCs) under GDPR, and
  • Binding data protection agreements with each Subprocessor.

9. Customer Responsibilities

As the Data Controller, the Customer:

  • Is responsible for the legality of data collected and stored in SugrivaX ERP.
  • Must ensure Users are informed of their data rights.
  • Should not upload or process unlawful or sensitive data categories unless authorized.
  • Must configure access permissions responsibly within the ERP.

10. Rights of Data Subjects

Depending on jurisdiction (e.g., India DPDP, EU GDPR, UK DPA), Users have the right to:

  • Access their data.
  • Request correction or deletion.
  • Restrict or object to processing.
  • Port their data to another service provider.
  • Withdraw consent at any time.

Requests may be sent to hoysalainternational@gmail.com, and responses will be provided within 30 days in accordance with applicable law.

11. Cookies and Website Tracking

SugrivaX ERP websites and portals use cookies only for:

  • Authentication and session management.
  • Remembering user preferences.
  • Performance analytics (anonymized).

Users can manage cookie preferences through browser settings.

12. Data Breach Notification

In the unlikely event of a data breach:

  • We will notify affected Customers within 72 hours of detection.
  • Full details of the nature, impact, and corrective actions will be shared.
  • We will cooperate fully with authorities and Customers in remedial action.

13. Third-Party Links and Integrations

SugrivaX ERP may integrate with third-party applications or payment gateways.

Hoysala International Growth Hub is not responsible for the privacy practices of these third parties.

Customers are advised to review their privacy terms before enabling such integrations.

14. Changes to This Policy

Hoysala International Growth Hub (“Company”) reserves the right to modify, update, or amend this Privacy Policy at any time to reflect changes in legal requirements, industry practices, or improvements to the SugrivaX ERP platform.

Any such updates will be published on the official company website at www.hoysalainternational.com, and the updated information will also be shared with Customers via their registered email address.

Continued use of the SugrivaX ERP platform after any such update shall constitute the Customer’s acceptance of the revised Privacy Policy.
